Discussion of Strategic Planning
 
How do we want our weekly meeting to develop?
 
We met in four breakout groups and shared summaries of our ideas. Here is a compilation of our discussion.
 
Highlights
  • more focus on meaningful substantive discussion for fellowship and to share thoughts on guest speakers and our service work
  • experimentation with meeting format leading to hybrid online/face-to-face meetings
  • making our meetings work better for new members and younger business and professional people with busy work and family lives 
 
Summaries from each breakout group
 
Michelle Chatten-Fiedorec
  • Keeping to meeting schedule is really important but somethings have to go in a zoom meeting e.g. announcements, not happy bucks/fines every week!
  • Consider break-out sessions following speaker presentation for substantive discussion among members
  • Design the meetings to keep flexibility and be bold with experimenting with the zoom technology.  Break-out sessions to encourage fellowship similar to tables at in-person breakfast and new member
  • First impressions are important and need to be as welcoming to new members and potential members to club meetings.  Need to consider how the traditional openings of CK Rotary meetings with anthem-toast-invocation
  • Member care – buddy up for reporting back to members and engaging membership (assignment by the Membership Committee)
  • Consensus for in-person meetings but need to consider hybrid meetings – plan now for setup when it’s available; different equipment/setup for in-person so there is high interest for those participating online; drop things that don’t translate well for online participation
 
Heather Nogrady
  • Hybrid meetings have both advantages and disadvantages; need to tighten the interpersonal connections and break-out sessions on a regular basis would help with this
  • If looking for younger Rotarians, zoom is the way to go but the connections are the key to keeping newer Rotarians engaged.
  • New tools need to be explored in more depth for expanding the options available; need to maximize our knowledge and use of them
  • Curated topics for discussion in smaller groups is key to engagement
 
 
Sean Goodall
  • Foundation of Rotary is fellowship, but zoom is difficult to use to support this.  The breakout sessions allow the small group connections and are more lively
  • Hybrid options: 1-3-5 week be a zoom meeting with remaining weeks in-person meetings.  May be a challenge to have the numbers for catering so may need to consider a donation model ($5 for coffee/donuts and $5 The Rotary Foundation)
  • OR in-person meeting with incorporation of meeting into Zoom
  • can bring in guest speakers that we wouldn’t otherwise see in Kingston; ability to be anywhere in the world; e.g., recent meeting with our partners in India
 
Ed Thomson
  • New members discussed the value of face-to-face meetings and having discussion and getting more information on the club activities, with the ability to ask questions in a smaller group
  • Membership orientation is more challenging in COVID19 situation and we need to consider how to provide reference material for which access is limited to Rotarians through sites.  How do we share resource material for newer members before they are members?
  • need a technical position; for hybrid meetings need budget for Internet and special equipment for hybrid meetings.
 
John Gale (summary)
  • task force to look at how we might establish hybrid meeting
  • several people have been coming to our meetings who didn’t come today; maybe how we run meetings now isn’t the best for newcomers
  • use of breakouts; instead of meeting of whole, could start with breakout sessions; take opportunity now to experiment with how we can use Zoom to increase inter-personal connection. Use breakouts following guest speakers.

John Gale: 20 people for our meeting, great for  a strategy session
John Farrow: Martin inspired him to do Zoom background picture—all of his travel books
Elizabeth Cohoe: At her recent birthday, got the idea of learning to play the flute
Robert Reid: Signed up for course on financial markets; check out Coursera; 100% on first quiz!
Greta Du Bois: at 11 am brunch with a good-looking man—her nephew—who will cook for her; monthly; will go to his home

Greta Du Bois:

Meeting of Centennial Committee: Town Crier was to announce Rotary Centennial at beginning of next week in front of Town Hall. Postponed
 

Rick Fiedorec:

Peter Merkley announced that the Major is addressing the Kingston Club this Thursday December 7th.

 

John Farrow:

Signing up for Rotary Direct—easiest way to make regular periodic contributions to Rotary Foundation. Signing up now gives 50% credit towards a Paul Harris Fellow. If not signed up to My Rotary, contact John for help.
 

John Gale:

This Wednesday, first Rotary Centennial reflections will appear in the Whig.

Suggested approaching CKWS for centennial inclusion in community segment on Wednesday evening
